(Purpose)

Article 1
  1. This regulation establishes the necessary matters concerning the maintenance and management of Tohoku Gakuin University's buildings and facilities (hereinafter referred to as "club rooms") that are permitted for use, based on the rules concerning extracurricular activities of Tohoku Gakuin University students.

(Jurisdiction of the club room)

Article 2
  1. The guidance and supervision of student groups' use of club rooms falls under the jurisdiction of the Student Affairs Department, with the head of the Student Affairs Division in charge.
  2. The maintenance and management of the club rooms will be the responsibility of the Facilities Department, with the head of the Facilities Section acting as the person in charge of fire safety.

(Suspension of use and points to note, etc.)

Article 3
  1. If a student group uses a club room in a way that could disrupt order in terms of managing campus facilities or violates these regulations, their permission to use the room will be suspended.
  2. The club room may not be used for any purpose other than that for which permission has been granted.
  3. When using the club room, student organizations must not modify it or lend it to others without permission.
  4. When using the club rooms, student groups must pay particular attention to fire safety and hygiene. Furthermore, in the event of damage to or loss of the building, facilities, or equipment, the group will be required to compensate for the actual costs incurred, depending on the circumstances.
  5. The usage hours for student club rooms at Tsuchitoi Campus shall be from 7:30 a.m. to 10:45 p.m.
  6. The usage hours for student club rooms at the Izumi Campus are from 9:00 AM to 9:45 PM.
  7. If you wish to use the club room outside of regular hours or on a holiday, you must obtain permission from the Student Affairs Director in advance and then contact the Facilities Director.

(Compliance Requirements)

Article 4
  1. Student groups using the club room must comply with the following:
    1. When leaving the clubroom, lock the windows and doors to prevent theft and other incidents.
    2. When leaving the clubroom, check for any open flames, especially electrical appliances, to ensure their safety after use, and make sure to turn off all lights.
    3. Do not use any heating appliances other than those permitted.
    4. The club room must be kept clean and tidy, and the room must be cleaned after use.
    5. Do not keep large sums of money or valuables in the club room.
    6. Take great care in storing the keys to each club room, and if you entrust them to the security office for safekeeping, ensure that they are handed over securely.

(Cooperation with inspection work)

Article 5
  1. When staff members conduct inspections of fire safety management, building maintenance, electrical equipment safety, fire fighting equipment, and crime prevention both inside and outside the club premises, the heads of each student organization must cooperate to ensure that the inspections proceed smoothly.

(Administrative)

Article 6
  1. All matters related to these regulations will be handled by the Student Affairs Division of the Student Services Department.

(Revision/Abolition)

Article 7
  1. Any amendment or repeal of these regulations shall be carried out by the President after deliberation by the Student Committee and subject to approval by the Board of Directors.
Supplementary provisions
These regulations shall come into effect on April 1, 1972.

These regulations shall come into effect on April 1, 2017.
Supplementary Provisions (Revised No. 17, February 7, 2020)
These regulations will come into effect on February 7, 2024, and will apply from April 1, 2023.
