The commissioned auditing student system allows graduate students enrolled in Graduate Schools to attend classes as special auditing students at other universities' Graduate Schools that have agreements with our university. In this case, the graduate Graduate Schools receiving the application for auditing will only permit the student to attend classes if it does not interfere with their regular classes. Currently, the graduate schools and departments at our Graduate Schools that have agreements regarding commissioned auditing students are the Department of English Language and Literature Graduate School of Letters and the Department of Law in Graduate School of Law.

Agreement concerning commissioned Graduate Schools students (English Language and Literature major)

It goes without saying that universities are more efficient in fulfilling their functions through cooperation with other universities than by acting alone. Ideally, this agreement would extend to both undergraduate and Graduate Schools research and education, regardless of nationality, nationality, or private status. As a first step toward such a situation, the universities listed below have agreed to establish a system for commissioned auditing students in Graduate Schools English literature programs.

A commissioned auditing student is a student who, due to research needs, wishes to audit courses at Graduate Schools Graduate Schools other than their own, and is commissioned by the other Graduate Schools Graduate Schools an agreement between the two Graduate Schools. The treatment of commissioned auditing students is as follows:

  1. When a student enrolled in Graduate Schools wishes to audit courses at another university's Graduate Schools for research purposes, they must obtain the consent of their supervising professor at their own Graduate Schools and then submit a request to the desired graduate Graduate Schools through their own Graduate Schools.
  2. When Graduate Schools from another university applies to audit a course after following the prescribed procedures, the Graduate Schools will permit them to audit the course, provided it does not interfere with their regular classes.
  3. The tuition fees for commissioned students will be determined by each university through consultations between the partner institutions.

Bylaws of Graduate Schools English Literature Program Council

Article 1 This council shall be called Graduate Schools English Literature Program Council and shall be composed of universities that have agreed to the spirit of the "Agreement Concerning Commissioned Auditors for Graduate Schools" and have joined the council.

Article 2 This council shall carry out the following activities to ensure the smooth operation of the commissioned lecture system and to promote academic cooperation and exchange among member universities.

  1. Regarding the acceptance of commissioned students, necessary matters will be discussed and decided.
  2. Create a shared timetable
  3. Promoting and supporting academic exchange among graduate students enrolled at member Graduate Schools
  4. Other projects that are in line with the objectives of this council.

Article 3 This council shall have the following meetings:

  1. General Meeting
  2. Liaison meeting

2. The General Assembly is the decision-making body of this Council and is composed of one representative from each member university. The General Assembly shall, in principle, be held once a year, convened by the Executive University, with the Executive University's representative serving as chairperson. Unless otherwise stipulated, decisions at the General Assembly shall be made by majority vote.

3. Liaison meetings shall be held as needed, and depending on the nature of the matters to be communicated, faculty members, administrative staff, or both shall attend.

Article 4. A secretariat shall be appointed to ensure the smooth operation of this council.
The organizing committee will consist of two universities, a principal and a vice-pronged one.

2. The term of office for the organizing school shall be two years, and the organizing school shall be re-elected every April.

3. The selection of the organizing school shall be based on a rotation system, and the deputy organizing school shall become the main organizing school for the following year.

Universities that agree with the spirit of Article 5, "Agreement Concerning Commissioned Auditors for Graduate Schools," and wish to join this council must notify the executive institution of their intention and obtain approval from the general assembly.
Approval of membership requires the consent of more than two-thirds of those present at the general meeting.

2. If a school wishes to withdraw from this council, it must notify the executive school, which will then report the decision at the general meeting.

Article 6 The operating expenses of this council shall be covered by contributions from each member university.

Article 7 The fiscal year of this council shall begin on April 1st of each year and end on March 31st of the following year.

Article 8. Any amendment or repeal of these regulations requires the consent of two-thirds or more of the attendees at the general meeting.

Supplementary Provisions: These regulations shall come into effect on May 12, 1973.

Detailed regulations concerning commissioned attendance at lectures

Article 1 Students enrolled in graduate programs in English literature (including programs in English and American literature or English language and literature) at member Graduate Schools may obtain some of the required credits at Graduate Schools of other member universities.

2. The number of credits that can be obtained at Graduate Schools of another university shall be determined by Graduate Schools to which the student belongs.

Article 2: Students who wish to audit courses at another university's Graduate Schools for the purpose of obtaining credits pursuant to Article 1 must apply using the prescribed form and obtain approval from their home Graduate Schools and permission from the other Graduate Schools they wish to audit.

2. The same applies to attending lectures without the aim of obtaining credits.

Article 3. If a student's request for entrusted attendance at a lecture is accepted, the student must pay the lecture fee to Graduate Schools where the lecture is to be held.

2. The tuition fee is 2,000 yen per subject (for the full year) (1,000 yen if attending for only one semester).

Article 4 The application deadline for commissioned auditing students shall, in principle, be April 30th.

Article 5. Graduate Schools that accept commissioned auditing students shall send a "Commissioned Auditing Student Academic Transcript" to Graduate Schools to which the commissioned auditing student belongs at the end of the academic year.

Other agreements

  1. Regarding the creation of a common timetable
    The materials will be sent to the organizing institution and each member Graduate Schools by the end of March.
  2. About using the library
    Graduate Schools that accept commissioned auditing students shall provide convenience to these students regarding the use of the library.
  3. Regarding student research presentations
    It is held every November at the host school.
  4. Student-led administrative tasks
    1. Creating a student roster
    2. Preparation for the research presentation
    3. Creating a program for a research presentation meeting
    4. Research presentation abstract (if necessary)
    5. Moderator of the research presentation
