Internal regulations concerning academic support for students with disabilities at the Student Support Office

(Purpose)

Article 1
  1. These internal regulations, based on Article 16, Paragraph 2 of the Tohoku Gakuin University Student Health Support Center Regulations (hereinafter referred to as "the Regulations"), stipulate the basic matters concerning academic support for students with disabilities at the Student Support Office of the Tohoku Gakuin University Student Health Support Center (hereinafter referred to as "the Student Support Office").

(Eligible for support)

Article 2
  1. In these regulations, a student with a disability is defined as "an undergraduate or Graduate Schools student who, due to a disability and social barriers, experiences significant and continuous limitations in their daily life or social life."
  2. When a student with a disability wishes to receive support from the Student Support Office, they must submit to the Student Support Office documents that clarify the cause of the disability, such as the original or a copy of their disability certificate or a medical certificate issued by a doctor concerning the disability.

(Scope of support)

Article 3
  1. Support for students with disabilities who wish to receive assistance from the Student Support Office (hereinafter referred to as "students requesting support") shall be academic support based on reasonable accommodations, covering educational matters such as participation in classes, extracurricular activities, and school events.

(Offer of support)

Article 4
  1. Applications for support must be submitted by the student themselves, using the prescribed form and bearing the signatures of all persons listed in the following items, to the Student Support Office.
    1. Students who wish to receive support
    2. Guarantor or guardian of a student seeking support
  2. If you wish to continue receiving support beyond the fiscal year, you must submit a similar application again.

(Timing of application for support)

Article 5
  1. Applications for support can be made at any time during the fiscal year. However, applications for continued support as stipulated in Article 2, Paragraph 2 shall be made at the beginning of the following fiscal year or later.

(Drafting of support plan)

Article 6
  1. The Student Support Office will conduct interviews with students requesting support to ascertain the need for such support and their wishes, and will formulate a draft of the support provided based on reasonable accommodations as stipulated in Article 3.
  2. In formulating the draft outlined in the preceding paragraph, the Student Support Office shall obtain from students requesting support the necessary documents to serve as the basis for judging the appropriateness of the support provided.

(Decision to provide support)

Article 7
  1. The draft of the support plan formulated pursuant to the preceding article shall be deliberated at the support staff meeting stipulated in Article 21 of the regulations, where the necessity and appropriateness of the support shall be discussed, the content of reasonable accommodations shall be decided, and the student requesting the support shall be certified as a recipient of the support.

(Implementation of support)

Article 8
  1. In order to realize the support based on the preceding article, the Student Support Office must promptly take necessary measures, such as preparing a "Request for Reasonable Accommodation" document for the student in question and notifying the instructors of the courses the student is taking and the relevant administrative departments.

(Implementation of ongoing consultations)

Article 9
  1. The Student Support Office will conduct regular interviews with students receiving support in order to ensure the effective continuation of support.

(Inquiry about the status of support, etc.)

Article 10
  1. The Student Support Office may, as needed, obtain information on the status of support provided from the instructors of the students receiving support and from other relevant support departments within the university.

(Information sharing)

Article 11
  1. The Student Support Office shall share information and cooperate with other support-related departments within the university as needed, in order to facilitate smooth academic support for students who request assistance and students who are eligible for assistance.
  2. In accordance with the preceding paragraph, the sharing of information obtained regarding students seeking support and students receiving support must be done only after obtaining prior consent from the students themselves.

(Administrative)

Article 12
  1. All matters related to these internal regulations will be handled by the Student Health Support Section of the Student Affairs Department.

(Revision/Abolition)

Article 13
  1. Any revision or abolition of these internal regulations shall be carried out by the President after deliberation by the Student Health Support Center Conference and reported to the Board of Directors.
Supplementary provisions
These internal regulations shall come into effect on April 1, 2018, and shall apply from April 1, 2016.

These internal regulations will come into effect on April 1, 2026.
